Placement Ready: A Centralised Solution for Streamlining Allied Health Student Pre-Placement Requirements

Abstract:

In 2024, 966 allied health students completed a clinical placement at Monash Health. Managing student pre-placement mandatory training requirements has been time-consuming and resource-intensive for student coordinators. Tracking completion required extensive follow-up across multiple universities and registered training organisations, with students often submitting fragmented documentation via email. To streamline this process, a new system was developed using the health network’s existing online learning management system (LMS).

The Allied Health Student Education Portal was created through collaboration between the LMS administration team and allied health student coordinators. This centralised platform allowed students across all disciplines to complete their mandatory training in a structured and efficient manner. Development commenced in June 2024, with the first student cohort successfully using the portal in February 2025. After the initial rollout, the requirements for each discipline were optimised based on their specific needs. The new system reduced administrative workload by providing student coordinators with a clear, consolidated view of training completion data. Furthermore, it standardised communication with students, enabled upload and access of student-specific resources and reduced inconsistencies across disciplines.

The platform is set to expand across all allied health disciplines in 2025, with a mid-year review planned to assess its effectiveness and incorporate feedback from both students and student coordinators. Future implications include improving leave coverage for student coordinators and enhancing staff handover processes. The implementation of the Allied Health Student Education Portal represents a successful innovation in streamlining student training management in a public health setting.
